Manage Events

To manage Events, access the Action Pages>Events tab within your fundraising account to view Event Details and Attendee records.

Within the Events Index, you will find a list of all upcoming Events. Once an Event has passed, the Event will no longer appear within the Event Index. To locate past Events, access the Filter menu in the upper right corner. Next, set a Start and End Date to filter by and click Apply Filters.

Enter the Name of an Event in the Search bar to locate a specific Event, and use the Sort button to organize the list of Events by Name, Date, Tickets Sold, or Total Raised.

To manage an individual Event, hover over the Event Name then select one of the following Actions:

  • Edit Page

  • View Details

  • View Attendees

By selecting Actions>Edit Page, you will be redirected to the Event Page Builder.

To create a new Event, click the + New Event button in the upper right corner of the page. You will then be redirected to the Event Page Builder.

View Details

Select Actions>View Details to open the Event Details drawer. Within the Event Details drawer, you will find a record of Event totals. The following details are available:

  • Individual ticket sales vs ticket availability

  • Total sold

  • Total earned

Click the X in the upper right corner to close the Event Details drawer.


View Attendees

Select Actions>View Attendees to view and manage the Attendees for an Event. Within the Attendees Index, you can perform the following actions:

  • Search

  • Filter

  • Sort

  • Export

  • Edit

  • View Details

  • Check-in Attendees


Search

Use the Search bar to locate individual Attendees by Name and Email.

Note: The Search bar will not recognize partial email addresses.


Filter

Access the Filter menu in the upper right corner of the Attendees Index. Within the Filter menu, you can apply the following parameters:

  • Start and End Date

  • Ticket Type

  • Ticket ID (comma separate, no spaces)

  • Show Checked In

  • Check In Date

Click Apply Filters, then click X in the upper right corner to view your results.


Sort

Use the Sort menu to organize Attendee data by the following:

  • Attendee Name

  • Timestamp (Purchase)

  • Checked-in


Export

Click the Export button in the upper right corner of the Attendees Index to download a CSV file of the list of Attendees.

Note: The Attendee Index is being enhanced to include Promo Code data. To download Promo Code data, create an Export from the Actions Pages>Submissions tab. Click here to learn more!


Edit

To Edit an Attendee, hover over the Attendee Name, then click Actions>Edit. An editable Attendee Information drawer will open on the right side of the page. You may make adjustments to the following Attendee fields:

  • Ticket Type

  • First and Last Name

  • Email

  • Phone

  • Address

  • Employer and Occupation

  • Download Ticket PDF

  • Resend Ticket QR Code via Email

Employer and Occupation can only be collected for the Purchaser at the point of submission. The data cannot be collected for Attendees at this time. The organization may optionally enter an Employer and Occupation for an Attendee within the Attendee Index.

​Updating the Attendee's Ticket Type will not refund or charge for the ticket price difference.


Resend Attendee Ticket QR Code via Email

To resend the Ticket QR Code to an Attendee, follow the steps below:

  1. Access the Actions Pages>Events tab from the main menu in your fundraising account.

  2. Hover over the Event Name, then select Actions>View Attendees.

  3. Within the Attendees Index, hover over the Attendee Name.

  4. Next, click Actions>Edit.

  5. Scroll to the bottom of the Attendee Information drawer.

  6. Click the Send via Email button.

  7. A new Ticket QR Code will be emailed to the Attendee's email address.

Optionally, you may click Download Ticket PDF to forward the Ticket QR Code from a personal email or text message.


View Details

To View Details for an Attendee, follow the steps below:

  1. Access the Actions Pages>Events tab from the main menu in your fundraising account.

  2. Hover over the Event Name, then select Actions>View Attendees.

  3. Within the Attendees Index, hover over the Attendee Name.

  4. Next, click Actions>View Details.

You will then be redirected to the Attendee Information drawer. Here you can Edit the Attendee Details, Download a Ticket PDF, and view all tickets purchased within the single submission.

Check-in Attendees

Use the Checked-in toggle to record an Attendee's arrival at an event. Within the Attendee Index Export, a record of the Checked-in Timestamp will be available for record keeping.
